Minutes of PtHAWW Club Meeting November 13, 2007

Treasurer Report
Funds status was reviewed with no significant changes noted from the last report.   It is expected
that annual financial results will be available to the Executive Committee in the near future.
Sector Director
Margaret reported on her activities at the Workshop just past.  In particular two subjects were
brought back to the club for information and comment.  There was informal discussion outside
the Workshop agenda of an initiative to increase the commonality of the class structure among
the various club produced shows throughout the U.S.  It was suggested that this initiative
originates from a desire to increase the efficiency of data entry and points tabulation at PtHA.  The
ensuing discussion touched on several concerns associated with this idea.
It was pointed out that the immediate result of this activity would be a reduction in the class
offering at many shows.  PtHAWW produces the two largest club sponsored shows of the PtHA,
largely because of the size of our class offering.   There is a very real concern that this initiative
would reduce the size of our shows and revenues to the club and to Pinto.   Recognizing the
diversity of club memberships in various regions of the U.S., standardization would affect each
club’s ability to provide shows tailored to the desires of the participants in the different sectors
of the U.S.   Concern was expressed that the staff would limit the show offering of the clubs to
their members in the name of data entry efficiency which is counter to the express purpose of the
Association.
The second subject that caused significant discussion concerned a cost reduction suggestion.  
Examples of consolidated/single mailing of show premiums and class lists were given and the
club was asked to consider joining in a similar approach with other clubs in Washington, Oregon
and Idaho.   It was agreed that there was interest in this idea as a cost cutting measure and as a
way to increase the exhibitor awareness in the region of the various opportunities to show, and
the initiative got club support.

Royalty Report
Laura Henning, as always, is looking for sponsors to support her activities for 2007 and would
appreciate any additional items for the banquet auction.  A motion to provide some ‘left-over’
items from this year’s show awards to the Royalty auction was defeated.

Show Committee Report
The proposed changes to the 2008 class structure out of the Show Committee meeting were
presented and voted. The approved class list is included herein. An increase in Stall Fees to $55
was approved.  There had been some concern regarding the decision at the last meeting to allow
the combination of certain driving classes and it was confirmed that refunds were authorized if an
exhibitor opted to withdraw from a driving class combined due to insufficient entries in the
baseline classes.

Year-end Banquet/Awards
Initial discussions regarding this year’s banquet included a proposal for a joint gathering of
PtHAWW and Cascade Pinto.   It was agreed that this idea would be seriously pursued.
Authority to identify possible locations  and begin initial planning for this event was given and
motions were passed authorizing a budget of $10,000 for year-end awards and  not more than
$2,000 for food, facility etc. Kim will assign interested members to purchase year-end awards and
to prepare for the banquet.  If you would like to support this activity please let her know.

Other
Wendy Davidson brought a suggestion to stimulate Breeding Stock participation at our shows and
asked if there was interest in PtHAWW to join in funding a Jackpot for a series of open Breeding
Stock classes.   Her proposal was to charge an enrollment fee for each horse and to award prizes
at year-end.   The club agreed to match Cascade’s seed money of $150.

Editor’s note – The July Big Six show is the same weekend as the Region 5 All Arabian
Championship Horse Show.  This may cause a few problems with the Saddle/Pleasure entries.
